Now, let's get down to the nitty-gritty.

The Accounting Clerk performs data entry of information to maintain the database through Macola software. This position is responsible for accuracy, efficiency and retrieval of processed data. The Clerk will compile, maintain, and proof material entered as required and generate data reports as required.

Job Functions

  • Using bookkeeping databases, spreadsheets, and software.
  • Posting financial transactions in databases (customer deposits, invoices)
  • Receiving and recording vouchers, generating and processing vendor checks.
  • Management of P-car process, audit statements against invoices, and for appropriate approval.
  • Application of customer account payments to invoices.
  • Generating and posting customer invoices.
  • Generating customer statements and printing to the appropriate folder to be sent out by Account Managers.
  • Checking for accuracy in reports, figures, and postings.
  • Reconciling and reporting any discrepancies found in the records.
  • Interacting with management, customers, vendors, and customers.
  • Answers phones and directs to appropriate personnel.
  • Knowledge of purchasing policies, processes, and procedures.
  • Contact vendors with discrepancies with delivery, quantities, or billing.
  • Key invoices into computer software.
  • Review all invoices for appropriate documentation and approval prior to payment.
  • Prints and obtains signatures on all accounts payable checks.
  • Distributes signed checks as required.
  • Assists in monthly closings for Accounts Payable.
  • Performs filing and coping.
  • Assisting with other items within the procurement department.
  • Follow all company safety policies/rules.

Knowledge, Skills & Abilities

  • High School diploma or GED required and 2 years of previous experience.
  • 2-4 years of college preferred.
  • Proficient in Word, Excel, and Outlook.
  • Proficient in data entry and typing skills.
  • Proficiency in bookkeeping programs and related software.
  • Excellent analytical, computational, and mathematical abilities.
  • High level of integrity and trustworthiness.
  • Exceptional attention to detail and accuracy.
  • Strong communication skills oral and written internally and externally.
  • Phone etiquette is required.
